Reporting To: Accounting Manager

Do you have high integrity and strong work ethic?  We are seeking an experienced Accounts Payable Supervisor to oversee and coordinate the daily functions relating to accounts payable including the coordination of workflow, invoice processing and vendor payments in a timely manner. This Supervisor serves as the main contact for all AP inquiries across the Company and leads problem resolution as well as maintains the integrity of the AP information and system while being accountable for a broad range of review and internal control activities for the entire AP process such as tax reporting, compliance, invoice monitoring and payment approvals. The Accounts Payable Supervisor will also recruit, train and develop the Accounts Payable Team.

Key Accountabilities

  • Demonstrate safe, environmentally sound and healthy work behaviours at all times, in support of Toromont’s Health and Safety Policies, Programs and initiatives
  • Develop and maintain cost effective processes and implement review procedures to ensure proper protocol is followed
  • Lead, train, coordinate and coach the AP Team to ensure weekly deadlines are met and Company procedures are followed
  • Manage equipment trade-in and buyout documentation and all payments to Caterpillar Financial
  • Partner with vendors on debit balances, special payment terms and maintain offsite storage/destruction
  • Produce the weekly expense direct deposit for Toromont Cat and Toromont Industries Ltd
  • Audit all expense reports and ensure compliance with Company policies and tax regulations for allocation and processing
  • Provide subject matter expertise on all AP issues, leading resolution and partnering with IT for any system modifications
  • Send accounts to collection, write off outstanding amounts and assist in data gathering for AP Projects
  • Manage weekly cheque runs (any manual cheques), sort and distribute cheques while partnering with the bank to ensure safety standards
  • Manage quarterly preparation of long term lease schedules and submit to Corporate
  • Prepare tax schedules at year end including preparation of the donation schedule for the Director of Taxation
  • Direct AP Team by providing guidance and performance feedback and recognition accordingly
  • Manage monthly JEs, reconciliations and Company/Vendor credit cards, 407 ETR accounts, fuel cards, telecommunication and maintain the database for allocation of audio conferencing accounts
  • Partner with Tax Consultants for allocation, tax savings and payments

Key Qualifications

  • Post-Secondary Education with a minimum 5 years’ experience with general accounting and working towards a professional accounting designation (as an asset)
  • Solid understanding of equipment sales/leasing processes
  • Analytical with a strong understanding of the entire Accounts Payable process and General Accounting
  • Exceptional leadership, coaching and team building skills including the ability to train and motivate others
  • Safety conscious and highly customer centric, strong team player with a sense of urgency
  • Exceptional communication and interpersonal skills with a proven ability to work effectively within cross functional teams and outside vendors
  • Results driven with a mindset for continuous improvement and the ability to recommend and implement new strategies, policies and procedures
  • Ability to interpret and apply departmental policies and procedures
  • Attention to detail, efficient time-management and effective planning skills with the ability to quickly adapt to multiple and often changing schedules and priorities in a deadline driven environment
  • Self-directed with high integrity and initiative to be proactive with effective problem solving
  • High proficiency in Microsoft Office Applications and working knowledge of AS400 and CODA (DBS would be an asset)
  • Willing and able to work flexible business hours in support of the business
