Reporting To: Heavy Rental Manager

Do you have high integrity and strong work ethic?  We are seeking a talented Inventory and Rental Coordinator responsible for the accurate processing of inventory records and rental administration functions to ensure customer satisfaction through detailed invoicing and timely maintenance of data for all assets.

Key Accountabilities

  • Demonstrate safe, environmentally sound and healthy work behaviours at all times, in support of Toromont's Health and Safety Policies, Programs and initiatives
  • Process Caterpillar claims and score records for all new Cat products delivered
  • Coordinate new machine preparation for fleet
  • Coordinate machine roll-out preparation process
  • Manage attachments ordering and receiving process
  • Review shipments, update rental agreement and reconcile rental contracts
  • Process rental invoices in a timely manner and ensure accuracy and clarity on agreement details                                    
  • Manage the off rent process and schedule and monitor shop appointments
  • Work with Rental Specialists to quote and recover customer damages
  • Maintain accurate inventory records in IRS during the agreement and receiving process
  • Administer all paperwork for rentals/no charge or demos and ensure insurance is up to date and all agreement details are approved
  • Update depreciation records in DBS for non-fleet assets
  • Provide back up for Rental Specialist and Fleet Managers as required

Key Qualifications

  • Post Secondary Education with a minimum 2 years experience in rental or equipment operation would be an asset
  • Safety conscious and highly customer centric, strong team player with a sense of urgency
  • Exceptional communication and interpersonal skills with a proven ability to work effectively within cross functional teams
  • Attention to detail, efficient time-management and effective planning skills with the ability to quickly adapt to multiple and often changing schedules and priorities in a deadline driven environment
  • Self-directed with high integrity and initiative to be proactive in problem solving
  • Technical aptitude with basic knowledge of Caterpillar and competitive product lines would be beneficial
  • High proficiency in Microsoft Office Applications including Excel, Word and Outlook (experience with DBS and SIS would be an asset)
  • Willing and able to work flexible business hours in support of the business
